Please read these terms carefully before making a booking. They form the legal basis of your agreement with Hamadan International.
Please read carefully: These Terms and Conditions ("Terms") govern all bookings made with Hamadan International Limited ("Hamadan International", "we", "us", "our"). By making a booking, you agree to be bound by these Terms on behalf of yourself and all members of your travelling party.
Hamadan International Limited is registered in England and Wales (Company No. 11673793). Our registered office is at 214 Whitechapel Road, 1st Floor, Suite 4, London, E1 1BJ.
We are a member of ABTA (Association of British Travel Agents) and hold ATOL protection for applicable flight-inclusive holidays. Our ATOL number is available upon request. These memberships provide financial protection for your booking.
Bookings can be made by telephone, email, or in person at our office. A booking is confirmed when we issue a written confirmation to you and we have received your deposit or full payment (as applicable).
The lead passenger (the person making the booking) must be 18 years or over and accepts these Terms on behalf of the entire travelling party. You are responsible for ensuring all members of your party are aware of and comply with these Terms.
It is your responsibility to ensure that all names, dates, and other details you provide are correct and match your travel documents. Any costs arising from errors in information you provide are your responsibility.
Please check your booking confirmation carefully upon receipt and notify us immediately of any discrepancies. Errors reported after 48 hours of issue may incur amendment charges.
A non-refundable deposit is required to confirm your booking. The deposit amount varies by booking type and will be advised at the time of booking. Typical deposits are:
The balance of your holiday cost is due no later than 10 weeks (70 days) before your departure date. For late bookings made within 10 weeks of departure, full payment is required at the time of booking. Failure to pay the balance by the due date may result in cancellation of your booking without refund of the deposit.
We accept payment by debit card, credit card, and bank transfer. A processing fee of up to 2% may apply to credit card payments. We do not store full card details.
Once your booking is confirmed and deposit paid, we guarantee the price of your holiday will not increase, except in relation to government-imposed changes such as air passenger duty, VAT, or other taxes over which we have no control.
In the unlikely event of a surcharge exceeding 8% of the total holiday price, you will have the right to cancel with a full refund. We will give you at least 20 days' notice before departure of any unavoidable price increase.
We reserve the right to correct any obvious errors in advertised prices. We will notify you of any such error before confirming your booking.
If you wish to amend your booking after confirmation, we will do our best to assist. All amendments are subject to availability and supplier conditions. An administration fee of £50 per booking applies to any amendment, plus any costs charged by the supplier. Some bookings (particularly low-cost flights) may not be amendable.
Should you need to cancel your booking, you must notify us in writing. Cancellation charges are calculated from the date we receive written notice and are as follows:

Certain suppliers (particularly airlines and hotels) may have stricter cancellation policies, in which case the more restrictive policy applies.
Travel Insurance: We strongly recommend you take out comprehensive travel insurance at the time of booking to cover cancellation costs and other eventualities. We can assist you in arranging suitable cover.
We will only cancel or make significant changes to your booking if necessary due to circumstances beyond our control (force majeure), or if the minimum number of participants for a group booking is not reached. In such cases, we will:
We reserve the right to make minor changes to your itinerary (such as changes to flight times of less than 12 hours, hotel room type where the alternative is of equivalent standard, or order of excursions). Minor changes do not entitle you to a refund or compensation.
We cannot be held responsible for cancellations or changes caused by unusual or unforeseeable circumstances beyond our control, including but not limited to: acts of God, natural disasters, war, terrorism, civil unrest, industrial action, epidemics, pandemics, government travel restrictions, or similar events. In such circumstances, we will endeavour to minimise disruption to your holiday and assist you in obtaining any available refunds from suppliers.
It is your responsibility to ensure you and all members of your party hold valid passports, visas, and any other required documentation for your destination. UK passport holders must ensure their passport is valid for at least 6 months beyond their return date for most destinations. We can provide general guidance but accept no responsibility for refused entry due to inadequate documentation.
You are responsible for ensuring you meet any health requirements for your destination, including vaccinations. We recommend consulting your GP or a travel health clinic well in advance of travel. It is your responsibility to ensure you are medically fit to travel.
We strongly recommend purchasing comprehensive travel insurance at the time of booking. Your insurance should cover cancellation, medical expenses, repatriation, baggage, and travel delays as a minimum.
You and all members of your party must behave in a reasonable and responsible manner throughout your holiday. We and our suppliers reserve the right to terminate your booking without refund if your conduct is deemed disruptive, dangerous, or offensive to other guests or staff.
Special requests (such as dietary requirements, room preferences, or wheelchair assistance) must be communicated to us at the time of booking. While we will do our best to pass these on to suppliers, we cannot guarantee they will be fulfilled and they do not form part of your contract.
If you or any member of your party has a medical condition that may affect your travel arrangements, you must inform us before booking. We may require a doctor's certificate confirming fitness to travel.
If you experience a problem during your holiday, you must report it to the relevant supplier (hotel, airline, etc.) and to our emergency contact number as soon as possible. If your complaint is not resolved satisfactorily, you must notify us in writing within 28 days of returning from your holiday.
As an ABTA member, we are committed to resolving disputes fairly. If we cannot reach an agreement, you may refer your complaint to ABTA's dispute resolution service. In the case of ATOL-protected bookings, you may also contact the Civil Aviation Authority.
Our liability to you is limited as follows:
We process your personal data in accordance with our Privacy Policy and UK GDPR. By making a booking, you consent to us sharing your personal data with suppliers as necessary to fulfil your travel arrangements.
These Terms and any dispute arising from them shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
We reserve the right to update these Terms at any time. The version applicable to your booking is the version in force at the time of booking confirmation. We will notify you of any material changes that affect existing bookings.
